Accounting Assistant

JOB SUMMARY

Provides assistance to the accounting work of the Accounting Department. Assists with financial transactions and budgetary control for assigned funds and departments. Assists with reconciliation and maintain integrity of general ledger. Assists with preparation of financial report statements and analyses. Assists with ensuring grants expenditures are within budget. Assist with submitting monthly claims for outside funding sources. Assist with accounts payables, general and fiscal operation. Assist with preparation of Consolidated Fiscal Report (CFR).

PRINCIPLE DUTIES & RESPONSIBILITIES

  • Provides assistance with reconciliation and maintain integrity of general ledger.
  • Assist with posting and allocating accurate and timely information.
  • Assist with making necessary adjustments and journal entries.
  • Assist with reconciling and balancing interfund, receivables, payables and fixed assets on a monthly basis.
  • Assist with maintaining monthly Balance Sheet Account Analysis
  • Provides assistance with the preparation of financial reports, statements and analyses.
  • Assist with financial statements to include balance sheet, income statement, financial position/budget variances and monthly inventory evaluations by 10 working days after month closing.
  • Assist with distributing monthly financial and reports to Department Heads.
  • Assist with maintaining and securing accounting records.
  • Assist with completing bank reconciliation including investment schedules.
  • Provides assistance with preparing monthly claims for government and other outside agencies.
  • Assist with ensuring accuracy and timelines of claims.
  • Assist with ensuring all monthly, quarterly and annual reports are completed.
  • Assist with generating other related reports for government and outside funding sources.
  • Provides assistance with Audit report preparation, statement and analysis.
  • Assists with ensuring audit confirmations are completed.
  • Assists with ensuring all reconciliations are completed prior to fieldwork.
  • Assist auditors during their field work and analysis.
  • Assist with preparing financial reports.
  • Assist with preparing Board reports.
  • Assist with preparing all audit schedules.
  • Assist with Single Audit.
  • Assist with 5500 Audit.
  • Assist with 990 Tax Return.
  • Provides assistance with preparation of Consolidated Fiscal Report (CFR).
  • Assist with preparing Semi-annual CFR Report for accurate allocation.
  • Assist with preparing annual CFR report for SED and OMH Departments and other programs.
  • Liaison for accounts payable and accounts receivable functions.
  • Provides assistance with coordination of general and fiscal operations maintaining records for insurance and related information.
  • Cross train to assist other staff.
  • Maintain paperless filing system.
  • As needed, make bank deposits.
  • Assist with anything else needed.
  • Ability to work with external Auditors.
  • Ability to train alongside staff.
  • Maintaining an accurate and timely general ledger.
  • Closing monthly general ledger and preparing financial statements by the 10th of the following month.
  • Preparing claims for outside agencies
  • Ability to follow through on work assignments.
  • Meeting deadlines on a timely basis.

QUALIFICATIONS

  • A.A. degree from an accredited college or equivalent experience, preferred.
  • Accredited college or business school courses in accounting functions and applications with at least three years paid employment experience as an Accounting Assistant.
  • Hands on experience and working knowledge of computer soft/hardware and applications, specifically: Automated accounting packages Excel and Word.
